We are seeking a Head of AI Strategy to lead the design, implementation, and governance of AI-driven solutions across intake, case management, records management, remote staffing, marketing, and back-office operations. This executive will bridge business goals with emerging technology, ensuring AI is deployed responsibly, securely, and profitably.

This role will work in close collaboration with the Process Improvement Officer, and business units ensuring that all AI initiatives directly support workflow optimization, eliminate duplication, and accelerate continuous improvement across all entities.

Key Responsibilities

Strategic Leadership
  • Develop and execute a comprehensive, multi-entity AI strategy that aligns with firm-wide business goals across RLL, RLLS, ROT, and Top Notch.
  • Build and maintain a portfolio of AI/automation initiatives prioritized by ROI, compliance, and impact on efficiency.
  • Partner with executive leadership to define AI governance standards, adoption roadmaps, and long-term innovation strategy.
  • Serve as the firm’s subject-matter expert on AI, automation, and emerging technology.
Innovation & Implementation
  • Design and oversee implementation of enterprise-wide AI projects such as:
    • AI-powered knowledge bot for policies, training, and procedures across all entities.
    • Real-time intake call coaching and QA for client-facing teams.
    • Predictive analytics to flag case bottlenecks, delayed records, or client satisfaction risks.
    • Automated case reporting, medical records processing, and document drafting.
    • AI-driven workflow tools for remote staffing optimization and performance tracking.
    • AI-enhanced reputation management, marketing insights, and client communication.
  • Integrate AI with Smart Advocate, HubSpot, CallRail, DOMO, SharePoint, Paylocity, and other core systems.
  • Continuously evaluate vendors and tools, selecting solutions that deliver scalable, secure, and measurable impact.

Data & Compliance
  • Ensure AI systems adhere to SOC-2, HIPAA, GDPR, and internal data governance standards.
  • Establish frameworks for bias mitigation, explainability, auditability, and accountability in AI models.
  • Collaborate with Finance, Compliance, and IT to ensure data integrity and security across all platforms and entities.
Team & Culture
  • Partner closely with the Process Improvement Officer to align AI with redesigned workflows, ensuring seamless adoption.
  • Educate and train attorneys, case managers, records specialists, remote staff, and leadership on responsible AI use.
  • Foster a culture of innovation by encouraging experimentation, measured risk-taking, and continuous improvement.
  • Act as an internal ambassador for efficiency, client-first innovation, and digital transformation.

Qualifications

Required
  • 7+ years in AI, data science, legal tech, automation (RPA), or related technology leadership roles.
  • Proven experience integrating AI into business operations across multiple business units/entities.
  • Strong understanding of AI/ML concepts, automation frameworks, and data analytics.
  • Experience with case management, medical record systems, or workflow optimization tools (Smart Advocate, Litify, etc.).
  • Strong project management skills; ability to lead cross-functional initiatives across IT, HR, Operations, and Legal.
  • Excellent communication skills; able to translate technical concepts for attorneys, HR, and operations staff.
Preferred
  • Prior experience in legal services, healthcare, records management, or remote staffing industries.
  • Familiarity with cloud infrastructure (AWS, Azure, GCP).
  • Strong background in business intelligence platforms (DOMO, Tableau, PowerBI).
  • Certifications/Background in compliance/security frameworks (HIPAA, SOC-2, GDPR).
  • Experience in change management, organizational transformation, or Lean Six Sigma to support cultural adoption.
